Sharing for a project CevApps site - best practices

Sharing can be a mess if you intend to use several CevApps Documents and CevApps Sites for a project.

You normally have to share all with the same group of people : generally your project team.

However, it can be much easier to manage:
  • with CevApps Groups to manage the list of members
  • sharing with the group email address instead of sharing with individuals in CevApps Sites
  • creating a folder for all project documents in CevApps Documents and sharing the folder with the group email address. All documents that fall into this folder will inherit from the permissions of the folder.
Once this done, yiou just have to place your new documents into the folder and to manage your group mailing list members.
You can choose to also use the CevApps Groups as a forum for your project, with the benefit of archiving email exchanges on CevApps Groups and to make them available for future project members.

Create a CevApps group :

Invite members

Be carefull to add member directly to be sure that members don't have to accept their membership but are directly members.

Manage the members

Create a folder in CevApps Docs

Share it with your newly created group

Check who has access to the folder

Go to the sharing page of your CevApps project site and invite the newly created group

Check the result
